Privacy Policy

Dojos.ro is an online management platform for dojos and martial arts and combat sports clubs, used by admins, coaches, front desk staff, parents, and students. In this policy, "we", "the platform" or "Dojos.ro" refers to the platform's operator, and "dojo" refers to the club/school that uses Dojos.ro for its own activity.

Depending on the account's role, we collect:

• Identification and contact details: name, email, phone, profile photo.
• Student data: date of birth, current belt/rank, belt history, training attendance, group/team, competition results, tuition fees.
• Sensitive data optionally entered by an admin/coach or parent: relevant medical information and emergency contacts, used solely for the student's safety.
• User-generated content: posts and comments in Community, uploaded photos, private messages between coach and parent.
• Technical data: IP address, device/browser type, authentication logs, used for security and troubleshooting.

• To provide the platform's functionality (student records, belts, attendance, payments, events).
• To send relevant notifications (push and, if configured, email) related to the dojo's activity.
• To respond to access requests received through the platform's presentation page.
• For account security and preventing unauthorized access.
• To understand and improve the platform (aggregated statistics, no advertising purpose).

We do not sell your data and we do not use it for advertising purposes towards third parties.

Data is hosted using the Google Cloud / Firebase infrastructure (database, authentication, file storage, server functions), which acts as a data processor, under its own security and confidentiality commitments. We do not share data with other third parties for commercial purposes.

Within the same dojo, student data is visible to that dojo's admins, coaches, and, where applicable, front desk staff, as well as to the student's own parent/the student themself - never to members of other dojos.

Data is kept for as long as the account and the dojo remain active. At the request of a dojo's admin or a user, relevant data can be deleted or anonymized, except where its retention is required by law (e.g. financial records).

Under applicable data protection law, you have the right to:

• request access to your personal data;
• ask for inaccurate data to be corrected;
• ask for your data to be deleted ("the right to be forgotten"), where legally possible;
• object to or restrict certain processing;
• receive your data in a portable format;
• file a complaint with the supervisory authority (see our GDPR page).

We use secure authentication, role-based access rules (each user sees only the data they're entitled to) and encrypted connections (HTTPS) for all communications with the platform.

The platform uses cookies and similar technologies strictly necessary for authentication and the app's operation (e.g. keeping the session). We do not use advertising-tracking cookies.

We may update this policy periodically. The last-updated date is shown at the top of the page. Significant changes will be communicated to dojo admins through the platform or by email.
