Enrolling a new karate student looks, at first glance, like a simple form to fill out — name, age, contact details. In reality, what you collect (or don't collect) at this moment determines how well you can answer, months later, real questions: who is their instructor, who is the emergency contact, what belt level they already hold if they're coming from another dojo. This guide walks through what information genuinely matters at enrollment and how to separate it correctly from the start.

What data is strictly necessary from day one?

Beyond first name, last name, and age, a few pieces of information are essential right from day one: who the parent responsible for the account is, which instructor or group the student will be assigned to, and — if the student is coming from another dojo — what belt level they already hold. Missing any of this information at enrollment means that, in the first week of training, someone has to chase it down retroactively, usually under the pressure of an already busy schedule.

A common mistake is putting off the instructor assignment "for later" — but without that clear link from the start, the new student is, in practice, an administrative orphan until someone remembers to assign them correctly.

What sensitive data needs to be collected separately from the rest of the file?

The emergency contact and any relevant medical notes (allergies, conditions that affect physical activity) are sensitive data that shouldn't be mixed in with the general profile visible to any team member. Collecting them at enrollment is simple — a separate section in the form — but storing them apart from the rest of the student's file, with restricted access, is the step most dojos skip.

This separation doesn't mean extra paperwork for the parent at enrollment — the parent fills everything in on a single form. The difference lies only in how the data is stored and who can view it afterward.

How do you handle enrollment when the student comes with a parent who doesn't yet have an account?

A common scenario: a new parent brings their child to a first trial class without already having an account in the dojo's system. The enrollment flow should allow creating the parent account in the same step as enrolling the child, not as a separate, later stage that risks being forgotten. A form that first requires manually creating a parent account, then separately enrolling the child, doubles the administrative work and increases the chance of errors (wrong email, duplicate account).

A well-designed flow treats this as a single step: the admin or instructor enters the child's data and, if needed, creates the parent's account directly from the same screen, with immediate access to the child's profile.

What happens to the information if the student comes with a belt already earned at another dojo?

Students transferring from another dojo often arrive with a belt already earned, but without any documented history of their journey — the previous instructor didn't leave notes, or the notes stayed at the old school. In these cases, the correct approach is to record the current belt as a clear starting point, with an explicit note that the prior history isn't available, rather than leaving the information ambiguous or undocumented.

This clarity prevents later confusion — for example, a new instructor not knowing whether the student's current belt was verified by their own dojo or simply inherited without evaluation.
